Modifying, Copying, Extending and Canceling Referrals
These functions are available only to the referring provider.

Modifying Referrals - Adding or changing a referral you have already submitted

  • Open a Submitted, Authorized or Complete referral from one of your work lists.
  • Select "Modify Referral" from the drop down list shown above.
  • Enter a reason for changing the referral. This will be logged in the communications section
  • The referral is set back to "Draft" status, retaining all information from the original referral, including the communications. Proceed as if it were a new referral. You must "Submit" it again to return it to processing.

Copying Referrals - Creating a referral similar to another one

Use when a patient is being referred to multiple specialists for the same (or related) conditions, or for a second referral to the same specialist for a similar or related diagnosis.
  • Open a Draft, Submitted, Authorized or Complete referral from one of your work lists.
  • Select "Copy Referral" from the drop down list shown above.
  • The new (copy) will be put into your draft list so that you can change any patient, insurance, or referral information as needed. "Copy Referral" is often used to when a patient has two or more referrals to different specialists for one condition, or may be used for a second referral to the same specialist for a similar or related diagnosis.
  • Include any applicable notes to the CSC team written in the communications and click "Send".
  • Click "Submit". It will put today's date on the referral, and a note in the communications that it is a copy of the prior referral. There is no change to the original referral.

Extending Referrals - To referral for additional visits beyond the original order

Note: Extending a referral is available only for Authorized or Completed referrals.
Some insurance plans require a referral for on-going care or treatment for a patient beyond a certain number of initial visits or after a given date. Typically, the specialist will return a consultation report along with a care plan that requests additional visits. An extension authorizes the additional treatment per the care plan, given payer authorization if required.
  • Open an Authorized or Completed referral.
  • Select "Extend Referral" from the drop down list shown above.
  • Enter a reason for extending the referral (e.g., "Continued care per care plan"). This will be logged in the communications section.
  • The extended referral is set to "Draft" status, retaining all information from the original referral, including the communications. Proceed as if it were a new referral. You must "Submit" it again to return it to processing.

Cancelling Referrals - When a referral is no longer germane

You may wish to cancel a referral if the service does not get authorized by the payer, or if a patient chooses to ignore treatment recommendations.
  • Open a Draft, Submitted, Authorized or Complete referral from one of your work lists.
  • Select "Cancel Referral" from the drop down list shown above.
  • Enter a reason for cancelling the referral. This will be logged in the communications section, and the referral will be removed from the active work lists.
